POP Connections
If you are connected to your mailbox by POP, you don't have direct control over what the server is storing.
Your email client will have a setting that will automatically remove emails from the server after a period of time.
We would recommend that you set this setting to remove emails from the server as soon as they have been downloaded, or as Outlook would refer to it, you would need to uncheck the setting "leave a copy of messages on the server".
This will ensure that once you have downloaded the emails to your computer, that they are removed from the server freeing up space for new emails to arrive.
Then if the mailbox is getting full again, all you need to do is download all of your emails.
IMAP Connections
If you are connected to your mailbox by IMAP, you will need to manage the storage yourself.
All the emails on your devices will by synced with the server and to reduce the size you have two options:
- Deleting emails
If your mailbox is full the most effective way to deal with this is to delete large emails. That's emails with attachments or photos. Those types of emails take up the most space in the first place, so deleting them will give you the most back. - Removing email from the server (Archiving emails)
You can set up a local data file on your computer which you can use to migrate emails off the server, onto your computer. This means that all your devices will no longer be able to view those emails where ever you are, so it is recommended that you only do this to your old emails. Also note that if you don't keep backups of your emails, if your computer dies you will lose all of those emails.
A third option, that will resolve this issue, but technically doesn't fall into "reducing your mailbox size" is to upgrade your mailbox size in order to be able to store more online.
